Job Title: Head Administration
Location: Gurgaon, India
Department: Administration / Facilities
Role Overview:
We are seeking a dynamic and experienced Head of Administration to lead and manage our administrative and infrastructure functions across the organization. The incumbent will be responsible for overseeing facilities management, infrastructure development, branch rollout, vendor management, security, and workplace operations to ensure smooth and cost-effective functioning of all administrative services across the group.
Key Responsibilities:
Facilities Management:
- Oversee day-to-day operations and maintenance of corporate office and branch facilities across India.
- Ensure upkeep of all properties, security systems, housekeeping, utilities, and safety protocols.
- Drive sustainability and energy efficiency initiatives across premises.
Branch Rollout & Infrastructure:
- Lead end-to-end project management for new branch launches, including site selection, lease negotiation, fit-outs, and go-live readiness.
- Coordinate with architects, contractors, IT, and compliance teams for timely execution.
Workplace Operations:
- Ensure optimal space utilization and seating arrangements.
- Plan and manage moves, renovations, and expansions.
Vendor & Procurement Management:
- Manage vendor onboarding, contracts, and performance for admin-related services.
- Drive cost control initiatives and ensure quality service delivery.
Security & Compliance:
- Implement and maintain physical security measures and emergency preparedness across offices.
- Ensure compliance with statutory and internal policies related to infrastructure and workplace safety.
Team Leadership & Budgeting:
- Lead and mentor the administration team.
- Prepare and manage budgets for administrative functions, with a focus on efficiency and cost optimization.
Qualifications & Experience:
- Graduate/Postgraduate with 1622 years of relevant experience in administration, infrastructure, and facilities management.
- Prior experience in a BFSI or large multi-location enterprise is highly desirable.
- Proven ability to manage large-scale operations and multiple internal/external stakeholders.
- Strong project management, negotiation, and leadership skills.
- Excellent communication and crisis management abilities.
