Job Overview:

The HR Operations Specialist will be responsible for managing and overseeing core HR operations and ensuring seamless HR service delivery. The ideal candidate will handle end-to-end payroll, employee data management, onboarding, offboarding, compliance activities, and employee engagement. The role requires high attention to detail, excellent communication skills, and a proactive approach to solving HR challenges.

We are looking for candidates with 5 to 8 years of relevant experience and a strong command of the Kannada language, both written and verbal.

Key Responsibilities:

1. Employee Lifecycle Management:

- Manage onboarding processes for on-roll employees, including release of payslips, IT statements, and login credentials for new joiners.

- Facilitate probation to confirmation initiation for both on-roll employees and interns transitioning to permanent roles.

- Track resignations and resignation acceptances, and handle the entire offboarding process, including Full and Final (FNF) settlements.

- Manage the issuance of increment and promotion letters, updating records accordingly.

- Handle gratuity payment processing and PIP (Performance Improvement Plan) documentation.

2. Payroll and Compensation:

- Execute end-to-end payroll processing with accuracy and adherence to timelines.

- Manage end-to-end FNF settlements, including calculation, verification, and disbursement.

- Process comp-off requests and maintain accurate records.

- Ensure accurate and timely release of payslips and IT statements.


3. Data and Reporting:

- Update and maintain the Master HC file with accurate employee data.

- Track offers and maintain records in the Master HC sheet.

- Prepare FNF provisioning reports.

- Track and update GMC (Addition & Deletion) data on the portal.

- Maintain compliance-related documents and update changes in the PF portal.

- Generate and manage reports related to employee movements, ESOP grants, and other HR processes.

4. Compliance and Audit:

- Manage compliance activities related to PF, ESIC, UAN, and other statutory requirements.

- Ensure timely updates and approvals in the PF portal.

- Handle audits and maintain necessary documentation for compliance checks.

5. Employee Engagement and Support:

- Manage employee and manager queries efficiently, providing timely responses and resolutions.

- Lead year-end activities, including performance reviews and documentation updates.

- Organize and manage employee engagement initiatives to maintain a positive work environment.

6. Vendor and Stakeholder Management:

- Manage vendor relationships related to HR operations.

- Handle BGV (Background Verification) processes and employment verifications for ex-employees.

- Update UAN, PF, and ESIC numbers in the greytHR portal.

Skills and Qualifications:

- Bachelor's degree in Human Resources, Business Administration, or a related field.

- 5 to 8 years of proven experience in HR operations, payroll processing, and employee lifecycle management.

- Proficiency in HRMS tools, preferably greytHR and Plum portal.

- Strong understanding of statutory compliance and labor laws.

- Excellent communication, problem-solving, and organizational skills.

- Good command over the Kannada language (both written and verbal).

- Detail-oriented with the ability to manage multiple tasks efficiently.

- Proficiency in MS Excel and data management.
