
Position : Senior Manager/AVP - General Administration
Location : Mumbai
Key Roles & Responsibilities:
1. General Administration
- Oversee daily office operations and ensure all facilities (electricity, CCTV, vehicle & parking, pantry & housekeeping, stationery, IT/F&A coordination, etc.) run smoothly.
- Handle office infrastructure maintenance, safety, and security compliance.
- Vendor management - identify, negotiate, and manage contracts for vehicle, stationery, pantry & housekeeping, courier, office equipment, security management, visa, etc.
- Manage office lease, AMC contracts, repairs, and renewals.
- Handle payment, procurement, fixed asset and inventory management.
- Ensure statutory compliances related to shops & establishments, fire safety, local municipal requirements, etc.
2. Expatriate Administration
- Manage visa applications, renewals, work permits, and liaison with authorities.
- File and maintain FRRO de/registrations, visa extensions, and related compliance.
- Assist expats in settling-in services: housing, local utilities, banking, SIM card, etc.
- Coordinate with consultants/agents for smooth processing of expatriate requirements.
- Maintain records of all expat-related documents with accuracy.
3. Compliance & Record Keeping
- Maintain updated records of all contracts, licenses, permits, and renewal time lines.
- Liaise with statutory bodies (Police, Fire Dept, BMC, FRRO, etc.) as needed.
- Prepare MIS reports and dashboards on admin costs, vendor spends, and compliance status.
4. Employee Support
- Act as single point of contact for employees for any administrative issues.
- Organize employee engagement logistics (bank events, festival celebrations, etc.).
- Creating access card for new joinees and preparing of Employee ID, Visiting cards etc as requested.
6. Financial & Budgeting
- Manage admin budget, track expenses, and ensure cost efficiency.
- Verify and process vendor invoices for timely payment.
- Periodic cost-saving initiatives in facilities, procurement, and utilities.
Skills & Competencies Required :
- Strong knowledge of admin operations in a corporate/financial institution.
- Familiarity with expat management (visa, FRRO, work permits).
- Vendor negotiation and contract management.
- Good knowledge of local laws (Shops & Establishment Act, BMC compliance).
- Proficiency in MS Office (Excel, Word, PPT) and basic MIS reporting.
- Excellent communication, coordination, and problem-solving skills.
- Ability to work independently with minimal supervision.
Educational & Experience Requirements :
- MBA/Post Graduate in any discipline (preferred: Administration/Management).
- 6-10 years of relevant experience in admin roles, preferably in banking/financial services.
-Prior exposure to handling expatriates is highly desirable.
