We are seeking a highly experienced and motivated Tender Manager to lead our bidding and tender processes, ensuring successful acquisition of new projects and business opportunities.

Job Summary:

- The Tender Manager will be responsible for the complete lifecycle of tender management, from identifying potential opportunities to submitting winning bids.

- This role requires a deep understanding of government tendering processes, particularly the GeM portal, and the ability to strategically plan, prepare, and execute successful tender submissions.

- The ideal candidate will be a seasoned professional with a proven track record of winning high-value tenders and possess exceptional organizational, analytical, and communication skills.

Key Responsibilities:

Tender Identification and Analysis:

- Proactively identify and analyze potential tender opportunities from various sources, including government portals (especially GeM), industry publications, and client networks.

- Evaluate the feasibility and strategic fit of tenders based on the company's capabilities, resources, and business objectives.

- Conduct thorough market research and competitor analysis to understand the competitive landscape and identify winning strategies.

Bid Strategy and Planning:

- Develop comprehensive bid strategies, including technical and commercial approaches, to maximize the chances of success.

- Collaborate with internal stakeholders (sales, technical, finance, legal) to define the scope of work, technical specifications, pricing strategies, and contractual terms.

- Establish clear timelines and responsibilities for all stages of the tender process.

Bid Preparation and Documentation:

- Lead the preparation of high-quality, compliant, and compelling tender documents, ensuring accuracy, completeness, and adherence to all tender requirements.

- Coordinate the input from various departments and ensure the timely delivery of all necessary information.

- Develop and write clear, concise, and persuasive technical and commercial proposals.

- Manage and organize all tender-related documentation, both physical and electronic.

GeM Portal Management:

- Act as the primary point of contact for all activities related to the GeM (Government e-Marketplace) portal.

- Manage vendor registration, product/service cataloging, and participation in GeM tenders.

- Stay updated on the latest GeM policies, procedures, and functionalities.

- Ensure compliance with all GeM guidelines and regulations.

Bid Submission and Follow-up:

- Ensure timely and accurate submission of bids through the relevant channels (online portals, physical submissions).

- Track the status of submitted bids and proactively follow up with the tendering authorities for clarifications and updates.

- Manage the bid evaluation process and address any queries or requests for additional information.

Contract Negotiation and Finalization:

- Participate in contract negotiations with clients to finalize terms and conditions that are favorable to the company while meeting client requirements.

- Ensure that contracts are legally sound and aligned with the company's policies and objectives.

- Coordinate with the legal team for contract review and finalization.

Risk Assessment and Mitigation:

- Identify and assess potential risks associated with each tender and develop mitigation strategies.

- Ensure that bid proposals adequately address potential risks and liabilities.

Performance Analysis and Reporting:

- Track and analyze the success rate of tenders and identify areas for improvement in the bidding process.

- Prepare regular reports on tender activities, outcomes, and key performance indicators for management review.

- Maintain a database of past tenders, including win/loss analysis and key learnings.

Stakeholder Management:

- Build and maintain strong relationships with internal stakeholders across different departments.

- Effectively communicate tender requirements, progress, and outcomes to relevant stakeholders.

- Represent the company professionally in all interactions related to tendering.

Compliance and Process Improvement:

- Ensure that all tender activities comply with relevant regulations, policies, and procedures.

- Continuously review and improve the tender management processes to enhance efficiency and effectiveness.

- Stay abreast of industry best practices and emerging trends in tendering.

Skills and Competencies:

- Extensive knowledge of the tendering process, particularly within the Indian government sector and experience with the GeM portal is mandatory.

- Proven track record of successfully winning high-value tenders.

- Strong understanding of contract terms and conditions.

- Excellent written and verbal communication skills, with the ability to articulate complex information clearly and persuasively.

- Exceptional organizational and time management skills, with the ability to manage multiple tenders simultaneously and meet tight deadlines.

- Strong analytical and problem-solving skills, with the ability to interpret tender documents and identify key requirements.

- Proficiency in using MS Office Suite (Word, Excel, PowerPoint).

- Ability to work independently and as part of a team.

- Strong negotiation and influencing skills.

- Attention to detail and a high degree of accuracy.

- Knowledge of relevant industry regulations and compliance standards.

Qualifications and Experience:

- Qualification: Graduate (preferably in Engineering, Business Administration, Law, or a related field).

- MBA preferred.

- Experience: Minimum 10+ years of demonstrable experience in end-to-end tender management, specifically within the technology or related sectors, with a strong understanding of government tendering processes
