Position: Purchase Manager

Reporting To: Head of Procurement/Supply Chain Manager


Job Location: Gurgaon, Sector 44


Qualification: Graduate in any discipline; MBA in Supply Chain Management, Operations, or

related field preferred.


Experience: Minimum 4-6 years of progressive experience in procurement, with a strong focus on MRO, Indirect, and Technical Purchases.

Job Summary:


- The Purchase Manager will be responsible for overseeing and managing the procurement activities related to Maintenance, Repair, and Operations (MRO) supplies, Indirect Purchases (e.g., office supplies, IT equipment, marketing materials), and Technical Purchases (e.g., machinery parts, specialized equipment).


- This role involves strategic sourcing, vendor management, contract negotiation, ensuring cost-effectiveness, and maintaining a reliable supply chain. The ideal candidate will possess strong analytical, negotiation, and communication skills, along with a proven track record in managing diverse procurement categories.


Key Responsibilities:


Strategic Sourcing and Procurement:


- Develop and implement effective procurement strategies for MRO, Indirect, and Technical categories, aligning with the company's overall objectives.


- Identify, evaluate, and select potential vendors based on quality, cost, reliability, and service.


- Conduct thorough market research and analysis to identify sourcing opportunities and stay updated on industry trends.


- Manage the end-to-end procurement process, including purchase requisition management, RFQ/RFP development, bid evaluation, and purchase order issuance.


Vendor Management and Onboarding:


- Build and maintain strong, collaborative relationships with key vendors.


- Lead the vendor onboarding process, including due diligence, qualification, and establishment of contractual agreements.


- Monitor vendor performance, address any issues, and drive continuous improvement in vendor relationships.


- Regularly evaluate vendor capabilities and performance metrics to ensure adherence to quality standards and service level agreements.


Contract Negotiation and Management:


- Lead and manage negotiations with vendors to secure favorable terms and conditions, including pricing, payment terms, delivery schedules, and quality standards.


- Draft, review, and finalize purchase agreements and contracts, ensuring compliance with legal and company policies.


- Manage contract lifecycles, including renewals, amendments, and terminations.


Cost Optimization and Savings:


- Identify and implement cost-saving initiatives across all procurement categories.


- Analyze spending patterns and identify opportunities for consolidation, standardization, and value engineering.


- Track and report on cost savings achieved through effective procurement strategies.


Technical Purchase Management:


- Collaborate closely with technical teams to understand their specific requirements for machinery, equipment, and specialized parts.


- Source and procure technical items ensuring adherence to specifications, quality standards, and timelines.


- Develop a strong understanding of technical specifications and industry standards relevant to the company's operations.


MRO and Indirect Purchase Management:


- Ensure the timely and efficient procurement of MRO supplies and indirect goods and services to support operational needs.


- Establish and manage inventory levels for critical MRO items to prevent stockouts and minimize carrying costs.


- Implement efficient processes for the requisition, approval, and purchase of indirect materials and services.


Data Analysis and Reporting:


- Maintain accurate procurement records and generate regular reports on purchasing activities,

vendor performance, and cost savings.


- Utilize Excel and other analytical tools to analyze procurement data, identify trends, and provide insights for decision-making.


- Develop and track key performance indicators (KPIs) to measure procurement efficiency and effectiveness.


Compliance and Policy Adherence:


- Ensure all procurement activities comply with company policies, ethical guidelines, and relevant regulations.


- Maintain proper documentation and audit trails for all procurement transactions.

Stakeholder Management:


- Collaborate effectively with internal stakeholders across various departments (e.g., Operations, Maintenance, IT, Finance) to understand their needs and provide procurement support.


- Communicate proactively with stakeholders regarding procurement status, potential risks, and opportunities.


Skills Required:


Technical Proficiency:


- Strong understanding of MRO (Maintenance, Repair, and Operations) procurement processes and best practices.


- Proven experience in managing Indirect Purchases across various categories (e.g., office supplies, IT, marketing).


- Experience in sourcing and procuring Technical Purchases, including machinery, equipment, and specialized parts, with the ability to understand technical specifications.


Negotiation and Contract Management:


- Excellent negotiation skills with a proven ability to secure favorable terms and conditions.


- Experience in drafting, reviewing, and managing various types of contracts and agreements.


Vendor Management:


- Strong vendor relationship management skills, including vendor selection, onboarding, performance monitoring, and issue resolution.


Analytical Skills:


- Strong analytical and problem-solving skills with the ability to interpret data, identify trends, and make informed decisions.


- Proficiency in using Excel for data analysis, reporting, and developing insights (e.g., VLOOKUP, Pivot Tables, charts).


Communication and Interpersonal Skills:


- Excellent written and verbal communication skills.


- Strong interpersonal skills with the ability to build rapport and collaborate effectively with internal and external stakeholders.


Process Orientation:


- Strong understanding of procurement processes and the ability to implement and improve efficient workflows.


Systems Knowledge:


- Familiarity with ERP systems and procurement software is an advantage.


Attention to Detail:


- High level of accuracy and attention to detail in all procurement activities
