Job Title : Spare Parts Functional Specialist

Role Purpose:

Ensure timely and accurate availability of spare parts documentation, sales mode definitions, and network support, aligning with project milestones, customer needs, and operational efficiency in the aftersales business. Act as a bridge between the engineering team and aftersales network to translate technical changes into clear, usable spare part information for business operations.

Key Accountabilities

Expected Outcome:

Functional Activities:

Accurate & Timely Spare Parts Documentation:

- Coordinate regularly with engineering to track design changes; assess and document their impact on the spare parts catalogue; confirm interchangeability and update as required.

Sales Mode Definition for Spare Parts:

- Define sales channels and availability for spare parts in line with business strategy, cost, logistics, and market requirements.

Support Repair Feasibility Decisions:

- Determine if parts can be repaired based on economic, logistical, and customer considerations; align with defined repair methods.

Link Mass Production & After-Sales:

- Establish and maintain references between production parts and aftersales parts; ensure service technical offers are updated accordingly.

Accurate Reference Management:

- Assign attributes for new part references (such as technical family, supplier, material, colour); create new references when necessary.

Document & Publish Updates:

- Record official spare part and design change information in the system (Phenix); validate and publish Service Information Exchanges (SIE).

Network Query Resolution:

- Respond promptly to network alerts and spare parts-related queries via HTL or email within defined SLAs (Urgent - 2 days, Standard - 7 days).

Performance Measures (KPIs):

- 100% on-time release of spare parts lists for projects in alignment with milestones

- Availability of replacement parts for all engineering changes during product lifecycle

- 100% confirmation of interchangeability and documentation updates within 3 weeks of official change notice

- SLA adherence: 2 days for urgent network queries; 7 days for standard queries

- Zero document rejections, correction tickets, or quality deviations in plate deliveries

Skills & Competencies:

Functional Competencies:

- Spare parts catalogue management

- Stakeholder coordination across engineering, supply chain, and aftersales

- Change management in product lifecycle

- Vendor and supplier coordination

- Data accuracy and documentation integrity in business systems

Qualifications & Experience:

- Bachelor's degree in mechanical, electrical/electronics, automotive engineering, or related field

- 3-5 years' experience in the automotive sector, preferably in spare parts planning, aftersales operations, or product lifecycle coordination

Role Impact:

This role ensures that spare parts information is business-ready, enabling the aftersales network to respond quickly to market demands, minimise downtime for customers, and maintain high levels of service quality and operational efficiency.
