Job Purpose:
This role ensures that contracts are executed efficiently, risks are mitigated, and legal and commercial interests are safeguarded.
The position plays a critical role in supporting project delivery and ensuring cost control and compliance with legal standards.
Experience:
Proven track record in handling large-scale real estate projects (residential, commercial, or infrastructure).
Experience in dispute resolution, claims management, and negotiations with contractors/vendors.
Educational Qualification:
Additional certifications in Contract Management, Legal Compliance, or Construction Management will be an added advantage.
Major Accountabilities:
- Lead the end-to-end contract lifecycle, including drafting, reviewing, negotiating, and executing contracts for all real estate projects.
- Develop standardized templates and processes for contracts to ensure consistency and efficiency.
- Ensure timely execution of contracts to align with project schedules and avoid delays.
- Prepare and finalize technical specifications, scope of work, and item descriptions for all contracts.
- Draft and issue key documents, including Letters of Intent (LOI), Letters of Award (LOA), deviation statements (DOS), work orders, and agreements.
- Develop and maintain an updated database of material rates, taxes, and applicable duties for accurate cost estimations.
- Conduct rate analysis for all project components, including civil works, finishing, and interior components.
- Collaborate with purchase teams, site-in-charge, and contractors for finalization of extra and miscellaneous items.
Risk Mitigation and Compliance
- Conduct risk assessments to identify and mitigate contractual, financial, legal, and operational risks.
- Ensure all contracts comply with relevant laws, real estate regulations, statutory requirements, and IS specifications.
- Monitor contractor performance to ensure adherence to legal, safety, and labor law compliance.
- Address and resolve deviations, amendments, and variations while safeguarding organizational interests.
Claims and Dispute Management
- Proactively manage claims, variations, and disputes with contractors and vendors.
- Collaborate with internal teams and legal advisors to resolve conflicts in a cost-effective and timely manner.
- Develop processes for early identification and escalation of potential disputes.
Vendor and Contractor Management
- Lead the pre-qualification process for vendors and contractors to ensure alignment with project requirements and company stand-ards.
- Evaluate vendor proposals, negotiate pricing, and finalize contracts to achieve cost efficiency without compromising quality.
- Maintain strong relationships with contractors and vendors, ensuring accountability and adherence to contractual obligations.
Performance Monitoring and Reporting
- Establish processes to monitor and evaluate contractor performance, deliverables, and milestones against agreed timelines and quality standards.
- Track key contract milestones, providing periodic progress reports on status, risks, cost implications, and variations to senior man-agement.
- Implement systems for evaluating project costs and optimizing rate analysis to control deviations and expenditures.
Tender Management and Negotiations
- Float tender inquiries to shortlisted contractors, consultants, and agencies based on project requirements.
- Evaluate tender responses, prepare comparative statements, and recommend vendors through technical and commercial assess-ments.
- Lead negotiations with contractors and vendors to secure competitive pricing and favorable contract terms.
- Ensure timely finalization and issuance of contracts, agreements, and procurement-related documentation.
Contract Execution and Cost Control
- Monitor and manage contract execution to ensure adherence to timelines, specifications, and project deliverables.
- Collaborate with site teams, purchase departments, and contractors to finalize project milestones and assess work durations.
- Track and control costs by optimizing rate analysis and addressing deviations promptly.
- Maintain process knowledge of taxes, import procedures, letters of credit (LC), and other commercial aspects of contracts.
Team Leadership and Development
- Lead, mentor, and develop the contracts team to foster a high-performance culture of accuracy, accountability, and process excel-lence.
- Provide training on contract management, legal compliance, negotiations, and risk mitigation processes.
- Develop standard operating procedures (SOPs) for contract processes and ensure alignment across all project teams.
- Collaborate with internal stakeholders, including project, procurement, and legal teams, to ensure seamless project execution and delivery.
Work Environment
- Primarily office-based with regular site visits for quality checks, audits, and project coordination.
- Collaborative work with internal teams such as legal, project management, procurement, and finance to ensure seamless contract execution and project delivery.
- Periodic travel to meet with vendors, contractors, and project stakeholders as needed.
- The role requires conducting on-site audits to monitor contractor compliance with specifications, safety standards, and quality benchmarks.
