Key Responsibilities:
Project Performance Monitoring & Reporting (MIS):
- Provide comprehensive support to the PMO in managing and maintaining Management Information Systems (MIS) related to project performance.
- Develop, manage, and maintain project dashboards, Key Performance Indicators (KPIs), and reporting tools, particularly utilizing platforms like Monday.com.
- Ensure the timely and accurate generation of project status reports for senior management, stakeholders, and project teams, including details on financials, resource utilization, project timelines, risks, and issues.
- Create monthly utilization, profitability, and global sanctions screening reports by strictly following defined step-by-step processes.
- Develop data models and perform deep-dive analysis to support strategic decision-making processes within the PMO and GCOE.
Project Tracking & Documentation:
- Monitor and regularly update project tracking tools and assist with the effective management of project databases and associated documentation.
- Ensure all project-related information is accurately recorded and easily accessible.
Process Standardization & Improvement:
- Implement and enforce standardized processes and tools for project tracking, reporting, and performance measurement to enhance overall efficiency and transparency.
- Identify and recommend continuous process improvements and best practices to optimize project management and MIS functions within the Global Center of Excellence (GCOE).
Content Management & Stakeholder Engagement:
- Collaborate effectively with product, sales, and marketing teams to create compelling content that educates and engages clients, prospects, and various internal stakeholders.
- Support the execution of content strategies aligned with business objectives, such as lead generation and brand awareness.
New Hire Onboarding & Administrative Support:
- Provide comprehensive support for the onboarding of new hires by managing enablement requests and administrative tasks (e.g., IT equipment procurement, distribution list management, systems access, license management).
- Schedule onboarding sessions and meticulously maintain and update onboarding materials to ensure a smooth transition for new team members.
- Support general office management duties, including organizing office assets, handling requests from the team, and liaising with external vendors as needed.
Requirements:
- Bachelor's degree in Business Administration, Project Management, Information Systems, or a related field.
- 2-4 years of experience in a PMO support, project coordination, or an equivalent operations role.
- Proven experience in managing MIS, developing dashboards, and generating reports, ideally with familiarity in tools like Monday.com.
- Strong analytical skills with the ability to interpret data, create data models, and perform deep-dive analysis to support decision-making.
- Excellent organizational skills with meticulous attention to detail and the ability to manage multiple tasks simultaneously.
- Proficiency in Microsoft Office Suite (especially Excel and PowerPoint).
- Strong communication (written and verbal) and interpersonal skills, capable of collaborating effectively with diverse teams and stakeholders.
- Proactive attitude with a demonstrated ability to identify process improvements and contribute to efficiency gains.
- Experience in content creation or supporting content strategies is a plus.
- Ability to handle administrative tasks efficiently and provide seamless support.
Preferred Qualifications:
- Experience with other project management software/tools.
- Basic understanding of project management methodologies (e.g., Agile, Waterfall).
