Responsibilities:



Requirement Management & Assignment:



- Immediately address new job requirements as they are received from the Vendor Management System (VMS).



- Collaborate with the Resource Manager (RM) and Recruiters to ensure prompt assignment of all incoming requirements.



- Thoroughly review each job description before assigning it to a recruiter.



- Clearly highlight the essential required skills within the job description before forwarding it to the recruiter.



- Proactively identify any missing information, inappropriate rates, or lack of clarity in the requirement details and escalate these issues to the Account Manager for resolution.



- Work closely with Account Managers to obtain necessary additional information for the recruiting team to effectively source candidates.



Recruiter Capacity Planning & Allocation:



- Analyze the current workload and availability of recruiters.



- Coordinate with the Recruiting Manager to confirm recruiter availability before assigning new requirements.



- Ensure all requirements are assigned to available recruiters as quickly as possible, minimizing any delays in the process.



Submission Management & Follow-up:



- Monitor and ensure that candidate submissions are made within the agreed-upon timeframe after requirement assignment, with an emphasis on faster turnaround for urgent ("HOT") requisitions.



- Diligently follow up with recruiters on the status of submissions and request regular updates.



Quality Assurance:



- Conduct thorough quality checks of candidate resumes before they are submitted to clients, ensuring they meet the specified requirements.



VMS Management:



- Accurately accept and reject job requirements within the client's Vendor Management System (VMS).



Communication & Liaison:



- Effectively communicate any urgent ("heads-up") requirements relayed by Account Managers to the relevant recruiting team members.



- Act as a primary liaison between the Account Management team and the Recruiting team, facilitating clear and efficient communication flow.



Performance Reporting & Analysis:



- Generate daily reports on key performance indicators (KPIs) related to delivery metrics.



- Analyze performance data to identify trends, bottlenecks, and areas for improvement.



Strategy & Improvement:



- Proactively make recommendations and develop strategies aimed at enhancing delivery efficiency and improving key performance metrics for assigned clients.



Compliance & Policy Adherence:



- Ensure that all candidate submittals strictly adhere to and maintain the client's established policies, procedures, and guidelines.



Auditing & Monitoring:



- Conduct regular audits of candidate submissions and all activities surrounding the assigned client accounts to ensure compliance and quality.



- Continuously monitor and promptly follow up on all emails, documents, and other forms of communication related to assigned clients.



Interview Coordination Support:



- Track interview notification emails and proactively ensure that Account Managers are sending interview requests to clients for all relevant candidates.



Offer Management Support:



- Monitor the offer process to ensure offers are accurately generated and sent out to candidates in a timely manner.



Qualifications:



- Master's degree in Human Resources, Business Administration, or a related field is preferred.



- Proven experience (5+ years) in a service delivery role within the recruitment/staffing industry.



- Strong understanding of the recruitment lifecycle and best practices.



- Experience working with Vendor Management Systems (VMS) and Applicant Tracking Systems (ATS).



- Excellent knowledge of recruitment metrics and reporting.



- Familiarity with client policies, procedures, and compliance guidelines in a staffing environment.

- Proactive Approach: Ability to anticipate potential issues and take preventative action.



- Leadership & Coordination: Ability to guide and coordinate the efforts of the recruiting team.



- Proficiency in Recruitment Tools: Experience using VMS platforms and other recruitment-related software
