We are seeking a highly proactive and experienced Executive Assistant to support our Managing Director (MD) in both strategic and administrative capacities.


This role goes beyond traditional EA responsibilities and calls for a trusted advisor who can manage high-level projects, drive cross-functional alignment, and support strategic decision making.


The ideal candidate will bring strong leadership capabilities, business acumen, and operational excellence to ensure that the MD's office functions seamlessly and remains focused on high-impact objectives.


Key Responsibilities:


Strategic & Leadership Support:


- Act as a strategic partner and sounding board for the MD on key business decisions.


- Drive follow-through on MD-led initiatives and ensure alignment across departments.


- Monitor and track progress on strategic priorities, ensuring deadlines and milestones are met.


- Provide insights and recommendations by conducting market research and internal data analysis.


- Prepare executive briefs, business updates, and reports for board and leadership meetings.


- Represent the MDs office in internal and external stakeholder meetings when required.


- Take ownership of select cross-functional projects and manage them end-to-end.


Calendar & Priority Management:


- Manage and optimize the MDs schedule, prioritizing high-impact meetings and commitments.


- Proactively resolve scheduling conflicts and anticipate needs in advance.


- Provide real-time calendar support and ensure effective time utilization.


Communication & Coordination:


- Serve as the central point of contact between the MD and senior leadership, clients, and external partners.


- Draft and review emails, reports, proposals, and communication on behalf of the MD.


- Ensure timely communication and flow of critical information across the organization.


Meeting & Travel Management:


- Organize strategic meetings, quarterly reviews, and offsite planning sessions.


- Prepare agendas, presentations, and action trackers, ensuring effective follow-up.


- Manage complex domestic and international travel plans, ensuring cost-effectiveness and efficiency.


Operational & Administrative Excellence:


- Manage confidential records, reports, and documents with absolute discretion.


- Prepare and track expense reports, procurement documentation, and operational logistics.


- Ensure high standards in all administrative processes related to the MDs office.


Cross-Functional Liaison:


- Work closely with heads of departments to align on strategic goals and execution timelines.


- Support interdepartmental initiatives by facilitating communication and tracking KPIs.


- Identify and escalate issues that require MD-level attention or intervention.


Content & Presentation Oversight:


- Liaise with content teams to collect, filter, and review materials before they reach the MD.


- Provide editorial input to presentations and internal/external communication decks.


- Ensure content accuracy and alignment with the companys vision and tone.


Technology & Process Improvement:


- Support automation and efficiency-enhancing initiatives within the MDs office.


- Stay updated on tools that improve executive productivity and collaboration.


- Assist in implementing best practices across business support processes.


Qualifications & Skills:


Education:


- Bachelors/Masters Degree in Business Administration, Management, or related field.


- MBA is highly preferred.


Experience:


- Minimum 10 years of experience in an Executive Assistant, Strategic Assistant, or Business Partner role.


- Prior experience in manufacturing or industrial sectors is a strong advantage.


- Proven ability to support C-suite executives in high-growth or complex organizations.


Technical Proficiency:


- Advanced knowledge of MS Office Suite (Word, Excel, PowerPoint, Outlook).


- Familiarity with project management and collaboration tools (e.g., Trello, Asana, Miro, etc.) is a plus.
